Guest Experience Evaluation

See your property through your guests’ eyes.

You have invested in the property, the furnishings, and the amenities. But how does it all feel to someone arriving for the first time? Is the space as comfortable as it looks? Are the details making the stay easier, or quietly creating frustration?

Our guest experience evaluation brings a fresh, practical perspective to your vacation rental. Our standard evaluation includes at least a one-night stay, giving us time to experience how the property presents, how it functions, and where thoughtful improvements could make the biggest difference.

The details guests notice. The ones owners can stop seeing.

A beautiful cabin can still have an awkward arrival, too little comfortable seating, confusing controls, or lighting that makes a room feel less inviting. Familiarity makes those details easy to overlook.

We consider the experience as a whole, from the expectations your listing creates to the everyday moments of being in the space. The goal is a clear understanding of what already works, what needs attention, and where your next investment makes sense.

What We Evaluate

Arrival & First Impressions

Curb appeal, parking, finding the entrance, and the first impression when guests step inside. We consider where arrival instructions and lighting could improve clarity.

Comfort & Everyday Use

Furniture placement, seating, room flow, kitchen and dining practicality, bedrooms, bathrooms, and the small conveniences that help guests settle in.

Amenities & Presentation

How outdoor spaces, game areas, and other amenities fit the intended guest experience, along with visible wear, lighting, visual consistency, and photo readiness.

Expectations & Clarity

How the listing represents the property, what makes the space distinctive, and where photos, descriptions, or guest information may leave questions unanswered.

A Clearer Plan for What Comes Next

The value of an evaluation is knowing what to do with the findings. Our recommendations focus on practical priorities:

  • Keep what works. Recognize the strengths that give your property its appeal and support the experience you want to offer.
  • Address the friction. Identify details that could create confusion, discomfort, or unnecessary guest questions.
  • Start with the quick wins. Find useful improvements that may require more attention than expense.
  • Plan larger investments. Understand which upgrades deserve consideration before committing to new furnishings, amenities, or marketing.

Recommendations are shaped around your property, your intended guests, and your goals. Sometimes the right next step is better photography. Sometimes it is moving a chair, improving instructions, or fixing a detail before anyone picks up a camera.

Especially Helpful Before Your Next Big Decision

An evaluation can help when you are preparing a new rental, refreshing an established property, planning professional photography, or trying to understand recurring guest feedback.

For owners and property managers, it is an opportunity to step back, see the whole experience, and give improvements a clear order of priority.

How It Works

  1. Tell us about the property. Share the location, listing link if available, intended guests, and any concerns or upcoming plans.
  2. We define the scope. We confirm the stay dates, access needs, deliverables, and pricing before scheduling. If you prefer a lower-cost option, ask about a walkthrough evaluation without an overnight stay.
  3. We evaluate the experience. Our standard evaluation includes at least one overnight stay. We consider arrival, evening comfort, sleeping spaces, and morning routines alongside presentation, usability, and opportunities to better meet guest expectations.
  4. We help you prioritize. We review the findings and recommendations so you can make informed decisions about what to tackle next.

A Creative Eye. A Practical Perspective.

At Tennessee Virtual Tours, our work capturing spaces means paying attention to how a property looks, how its layout communicates, and what helps someone understand its appeal. A guest experience evaluation brings that same attention to the space itself.

We connect presentation with everyday use, helping you make the property more thoughtful and communicate its strengths accurately. Photography, video, Matterport tours, floor plans, and evacuation plans can be discussed separately when they serve a clear purpose.

Common Questions

Is this a property inspection?

This is a consultation focused on guest experience, presentation, and practical use. It does not replace a licensed home inspection, code inspection, or specialist assessment of building systems and safety equipment.

Does the evaluation include an overnight stay?

Yes. Our standard evaluation includes at least a one-night stay. Spending time in the property through arrival, evening, and morning helps us assess the everyday experience that a brief visit can miss, including lighting, comfort, convenience, and how the space supports a typical stay. We agree on dates and access arrangements before scheduling.

Is there a lower-cost option without an overnight stay?

Yes. A walkthrough evaluation is available on request for owners who prefer a more economical option. It focuses on what can be assessed during an on-site visit, including presentation, layout, visible condition, and practical usability. Because it does not include a stay, it offers a more limited view of the evening, sleeping, and morning experience.

Do we need to renovate before scheduling?

No. An evaluation can be especially useful before you spend money. We can consider the property in its current condition and help you identify priorities for improvements.

Can you review our listing too?

Yes. Share your listing link when requesting an evaluation so we can include a review of how the property is presented and how that presentation aligns with the on-site experience.

Will this improve our reviews or increase bookings?

The evaluation identifies opportunities to improve the experience and communicate the property more clearly. Reviews and bookings depend on many factors, so specific ratings, occupancy, and revenue results are not guaranteed.

How much does an evaluation cost?

Pricing is based on the property’s size, location, and agreed scope, with at least a one-night stay included in the standard evaluation approach. A lower-cost walkthrough option without a stay is available on request. Send us a few details and we will provide a quote before scheduling.

Where is this service available?

We serve Gatlinburg, Pigeon Forge, Sevierville, and surrounding East Tennessee communities. Share the property’s location so we can confirm availability and any travel considerations.
